Job Description
The Sales Manager position is responsible for contacts with potential customers to generate business for the hotel, responding to all leads for business, coordinating catering activities for group bookings, and sales activity organization. This individual must have the ability to easily and willingly adapt to changes of policy, procedures, or work environment. A primary duty is to meet project deadlines consistently, completing all projects assigned in an accurate and thorough manner. This position assists General Manager to develop, implement, promote and follow through on actions and activities to increase the hotel’s business revenues.

o Have a thorough knowledge of emergency procedures.

o Strong organizational skills and the ability to plan work schedule, prioritizing work tasks and responsibilities.

o Complete 45-52 sales activities per week.

o Required to meet financial sales goals on monthly basis.

o Develops and Initiates all actions necessary and appropriate to achieve established sales goals and business revenue goals for the hotel.

o Responds to contacts for hotel information in a timely and professional manner.

o Responds & follows-up in timely manner to ALL leads/RFPs from Brand Sales Organization, Event Facilities, Convention & Visitor Bureaus and/or other Booking Agencies, and other leads for potential business opportunities for our hotel.

o Actively and consistently participates in sales meetings, planning sessions, and brainstorming opportunities to increase results for hotel’s business.

o Maintains highest level of professionalism at all times.

o Completes daily sales activity information within SalesPR

Data entry using SalesPRO.

o Prepares and distributes internal/external letters, forms, bookings, contracts, BEO’s, group resumes, rooming lists, event schedules, and mail in an accurate and timely manner.

o Responsible for ensuring group rooming lists are received by cut-off date and properly entered in hotel’s RESERVATION AND PMS, with copies inserted in Front Desk Group Resume Book.

o Responsible for securing completed direct bill applications, distribution of group credit information, and accurate adherence to group billing procedures.

o Monitors business trends and directs adjustments to Revenue Maximization Strategies.

o Trace VIP guests for arrival, room assignments, and amenities.

o Accurate and timely preparation of contracts, reports, and other paperwork related to the sales department functions.

o Maintains Group History, traces, follow-ups, utilizing Sales Office systems.

o Traces dates for contact follow-up and all actions necessary for group bookings.

o Assist in preparation of daily, weekly and monthly reports and Group Log Book.

o Assists GM in preparation and timely submission of weekly STAR Report review.

o Completes weekly Sales Department Productivity Analysis Report.

o Maintains organization of office for filing, faxing and distribution of all correspondence

o Assists GM during development of Hotel’s Marketing Plan, Budget, and RFP submissions as needed.

o Demonstrate working knowledge of the Brand service standards.

o Assimilate into the Hotel’s “Guest Service” culture through understanding, supporting and participating in all elements of providing our hotel’s guests with Superior Guest Service.

o Maintenance of computer data for Sales Department including updating and troubleshooting.

o Participates in hotel’s Manager on Duty program (once trained on responsibilities).

o Any other duties directed by the General Manager, and/or Corporate Management.

o Reports directly to the General Manager.
