Development Assistant

Position Summary

The Development Assistant provides administrative and operational support to the Development Department, the Director of Development, the Membership Manager, the Executive Director, and the Museum's development-related activities. This position assists with fundraising initiatives, membership administration, donor stewardship, event support, and general administrative functions while maintaining a high level of professionalism and confidentiality.

Essential Functions and Responsibilities

  • Provide administrative support for development activities, meetings, and appointments.
  • Assist with identifying prospective members, sponsors, and donors.
  • Maintain donor, sponsor, foundation, and membership files and databases.
  • Support membership fulfillment, renewals, and outreach campaigns.
  • Assist with planning and implementation of fundraising and museum events.
  • Draft, edit, and proofread correspondence, memoranda, and reports.
  • Assist with mail distribution, outgoing shipments, and office supply ordering.
  • Maintain confidentiality and professionalism in all interactions.
  • Perform other duties and projects as assigned.

Education and Experience

  • Associate degree in Business Administration, Office Administration, Nonprofit Management, Communications, or a related field preferred.
  • Minimum of two (2) years of administrative support experience preferred, preferably in a nonprofit, fundraising, membership, or development environment.
  • An equivalent combination of education, training, and experience may be considered in lieu of formal education requirements.

Licenses and Certifications

  • Valid driver's license required.

Knowledge, Skills, and Abilities

  • Strong organizational and time management skills with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office applications including Word, Excel, Outlook, and PowerPoint.
  • Experience with donor management or CRM software required; experience with Blackbaud Altru preferred.

Physical Demands

  • Remain in a stationary position for extended periods of time while performing computer and administrative work.
  • Frequently operate a computer, telephone, copier, printer, and other office equipment.
  • Occasionally move throughout office and museum facilities.
  • Occasionally lift and move materials weighing up to 25 pounds.
  • Visual acuity sufficient to perform the essential functions of the position.

Work Environment

  • Work is primarily performed in an office and museum environment.
  • Occasional evenings, weekends, and holiday work may be required to support Museum events and fundraising activities.
